 WFHS Athletic Booster Club 
Meeting Minutes Oct. 14th, 2019  

WELCOME – Marc Wachter called the meeting to order at 7:07 PM.  Marc began the meeting with welcoming and thanking everyone for all they are doing.  Informed everyone that Wallace-Rose Hill thanked Wake Forest High School for all that was done at the football game for them.

ATTENDEES: About 14 people attended the meeting and the information is in the notebook with the minutes. 

APPROVAL OF MINUTES: Minutes were shared with the public using Mailchimp and approved.

Secretary, Renae Hill: Minutes from September meeting were shared using Mailchimp. 

Treasurer, Bryan Wooten: Bryan gave an update on account balances.  The checking account balance is $66,900 and the team account balance is $30,700.  The ABC account is $36,200. Weight room had 2 deposits.  Expenses for Rydell helmets and BSM team coaches shirts.  Wake County may be able to help with the fields and helmet expenses.  Eastern Turf is a big expense for the fields.  Marc indicated the money made on the Jamboree not as good as anticipated.  BSN cut us a check for $12,500.  Concessions has been making about $5,000 a week and last year that is what was brought in on playoff games.
Athletic Director, Mike Joyner: Coach indicated Fall sports are winding down.  Winter Sports will have ticket to play on October 21st, 22nd and 24th.  Gladwell Orthodontics helped out a lot on contributions to the weight room.  Coach indicated with the stadium getting redone where the teams will be playing.  Varsity football games at Heritage, soccer at Wake Forest Middle school.  2 Senior Nights have already been done, and Senior Night for football and volleyball are coming up.  November 12th is Winter Sport parent night.  The major overhaul of the stadium will have all the concrete and bleachers taken out.  A couple 100 seats taken out for the track.  Drum major may need new stand as it will be too high.  Coach said the Jamboree for 2020 will be held at Central Durham.  Will need to run it by Nick from HighSchool OT and WRAL.  PowderPuff games are coming up and concessions will be open. 

Vice President, Jennie Elias: Was not available for the meeting. 

Apparel, Stephanie Walker: Stephanie reported all new apparel was sold at last Friday’s football game.  A total of $800 apparel was sold.  She brought up about having a Plinco Board and sell the tickets for a $1.00.  Hoodies that were ordered were not yet in. She was going to be ordering men’s hats. 

Banquet/Senior Nights: Kristen VanViegen: No new news.  Kristen made a correction to the September meeting notes that Cindy Joyner made the Sr. Night pins.  Scripts were needed by Thursday for Sr. Night.  LuAnn Wooten and Band parent brought up about Sr. pics and posters on the fence. 

Concessions Kristen VanViegen: Kristen is looing into Pepsi issue because Bryan stated Pepsi stated we owe. Concession has been doing great on home and visitor.  Last game on visitor there were long lines and sold out.  New volunteers have been signing up.  LuAnne Wooten brought up that the new Sheetz in Wakefield donated ham and turkey sliders to the football team.  This is something we may want to bring in to the concession stand.  The sliders are $2.00 and we could sell for $3.00. A member brought up about using MR Williams a food wholesaler who may be cheaper than Sams.  Using other food vendors will be looked into for other options to sale. 

Corporate Sponsorships: Johnny’s Pizza was brought up about teams using them since they are a sponsor. 

Fundraising Coordinator: Kristin Rendina: Kristin was not available for the meeting. Marc reported that since we will lose money from concessions being closed during the stadium renovation, ways to bring in money.  Having a Casino Night was discussed. Panther Creek had a Casino Night. They made $12,000 and due to a low turn could have potentially made $20,000. They said had they done more advertising would have had a bigger turnout, but still made $12,000. During the stadium renovation concessions will be held at Heritage. WF will get a percentage and we will have our own volunteers. WF will use their product in stock and they will receive a percentage of sales. 

PTSA Liaison, Larissa Moore: Larissa stated they are working with ABC, JROTC and other groups when they have their spirit nights.  She stated they are feeling the pain with no longer using Remind. Sharing on all social media to get the word out on all school information.  It was brought up about the Wake County rules on sending out announcements.  Larissa said she is sharing ABC SUG and all athletic info on all their social media.   Marc brought up about using VOMO. 

Season Passess/Membership, LuAnn Wooten: Adult and student passes being sold at the games.   LuAnn is informing all the football parents to please volunteer and sign up on Sign Up Genius.
Volunteers, Jennie Elias:. Jennie was not available for the meeting.  Marc up about SUG and that Jennie is sending out to all the coaches and the ABC members.  It’s also being shared on ABC social media outlets.
Old Business:

  1. Secretary of State indicated ABC already had name change that took place in 2014. 
New Business:
  1. Digital Display for next year.   
  2. Looking into ways to advertise our sponsors with the stadium renovation taking place. T-shirts with all of their names on the back.  
 Meeting adjourned at 8:07 PM. 

The next meeting is Monday, December 9th at 7 PM in the Media Center.

There was not a November meeting due to Veteran's Day and Fall Sports Banquet Night.
